Employer FAQs
How ordering works, what results mean, who sees what, and what the law expects of you.
Getting started
Who can use eScreenly?
U.S. businesses screening job candidates or employees for employment purposes. Every employer applies with its business details, website and expected volume, and certifies that it will request reports only for a permissible purpose. Our team reviews every application before the account can order checks.
How long does account approval take?
We review applications as they arrive and email the account owner as soon as a decision is made. If we need more information about your business, we'll ask.
What does eScreenly cost?
Pricing is per background check and depends on the package. Standard packages are available to every approved employer, and we offer custom packages and negotiated pricing for your roles and volume. The price of each check is fixed when you order it. Contact [email protected] for a quote.
Which screenings do you offer?
SSN trace, national criminal search, sex offender registry search, county criminal search, motor vehicle record, employment verification and education verification. Packages combine these screenings.
What doesn't eScreenly offer?
We don't currently provide drug and alcohol testing, fingerprint-based checks, credit reports, professional license verification or federal exclusion-list checks (such as the OIG list). If your roles need these, they can run alongside eScreenly.
Ordering checks
How do I order a background check?
Choose a package, enter the candidate's name and email and the job's work location, from your dashboard or through the API. The candidate receives an email with a personal link to complete their part.
What does the candidate have to do?
They review the FCRA disclosure, enter their details and current address, acknowledge any state notices that apply, upload their photo ID, Social Security card and a selfie, then review everything and e-sign the authorization. It takes about ten minutes, on any device, with no account to create.
What if the candidate doesn't start or finish?
Invitation links last seven days, and we send the candidate one reminder two days before theirs expires. You can resend an invitation at any time, which gives the candidate a fresh link.
How long does a check take?
It depends on the screenings in the package and on how quickly the candidate completes their part. Once they sign, a specialist verifies their identity and then researches each search. You can follow every step live, and you're emailed as soon as the report is ready.
What is the fair-chance certification when I order?
In California and Hawaii, employers may run a criminal check only after a conditional offer of employment; in Illinois, Minnesota and Washington, only after deciding the candidate is otherwise qualified. For a job in one of those states, you certify that step before ordering a package with a criminal search. Your certification is stored with the order.
Results and decisions
What do Clear and Consider mean?
A completed report is Clear when no reportable records were found, and Consider when at least one screening found something your team should review, such as a criminal record. Consider isn't a decision: it means a person on your team needs to look at the records.
Who on my team can see results?
Owners, admins and adjudicators see results and records. Recruiters can order checks and follow progress and decisions, but never see Clear/Consider results, records, Social Security numbers or dates of birth. This keeps conviction history with the people who make decisions.
Which records are left out of reports?
Specialists exclude records that don't belong to the candidate and records the FCRA doesn't allow to be reported, such as most non-conviction records older than seven years. Each exclusion is documented internally and never shown to you.
What must I do before declining a candidate because of a report?
The FCRA requires a pre-adverse action notice with a copy of the report and A Summary of Your Rights Under the Fair Credit Reporting Act, then a reasonable waiting period (commonly at least five business days) so the candidate can respond, and then a final adverse action notice. Some states and cities require more. See our FCRA compliance guide.
Can candidates get a copy of their report?
Yes. Every candidate can ask for a free copy when they sign the authorization, and we send it once the report is complete. Candidates can also contact us at any time to request their file.
Security and integrations
How is candidate data protected?
Social Security numbers, dates of birth, license numbers and identity documents are encrypted in the database. Every user signs in with a password and an authenticator app. Only the specialist working a check can open its documents, and every access is written to a permanent log.
Can I connect my applicant tracking system?
Yes. Create an API key under Settings to order checks, list your packages and fetch statuses and results. See the API documentation. Webhooks aren't available yet, so integrations check a report's status.
How do I add my team?
Owners and admins invite teammates from Settings, choosing each person's role: admin, recruiter or adjudicator. Every invited user sets their own password and authenticator app.
